Real-Time Operations Dashboard

The dashboard refreshes automatically every five minutes and displays today's orders, revenue, profit, and margin in real time. Operators can filter by device, date range, payment status, or customer. Period views include Today, Yesterday, Month-to-Date, Quarter-to-Date, Year-to-Date, and Inception-to-Date. Any order can be expanded to show full product-level detail. The dashboard works offline using a local data archive when the API or internet is unavailable.

Hero AI — Intelligent Business Assistant

Hero AI is the platform's built-in AI analyst powered by Anthropic's Claude Sonnet. It has full access to the operator's data including sales history, cost profiles, margin data, stock levels, warehouse inventory, notes, schedule, and customer transaction patterns. Operators can ask questions in plain English. Hero AI also performs real-time web searches to pull in industry news, market trends, supply chain updates, and tariff impacts. Additional capabilities include what-if revenue modeling, goal tracking with live progress monitoring, and geopolitical impact analysis. Hero AI is available on every page via a floating widget and as a dedicated full-screen interface. Conversations are saved, synced across devices, and exportable as PDF, copy, or email.

  • Device Quiet: Flags a machine that has stopped selling during expected business hours, indicating possible downtime or a connectivity issue.
  • Customer Dropout: Flags a regular customer who has disappeared from transaction history, indicating a possible service issue or lost account.
  • Product Sales Cliff: Flags a product whose sales volume has dropped suddenly, indicating a possible out-of-stock, placement issue, or shift in demand.
  • Margin Shift: Flags an unexpected change in margin on a specific device, indicating a possible pricing error or untracked cost change.
  • Volume Spike: Flags an unusual surge in sales activity, indicating a potential data anomaly or an opportunity worth acting on.

AI Daily Briefing

An automated email is sent nightly at 11:59 PM ET to all admin users. It includes the daily sales summary, top-performing devices, top products, revenue comparison to the prior day, an AI-generated analysis section with insights and recommendations, and stock alerts for any products that are low or empty.

Product Cost Engine

Operators configure cost-of-goods per product and per device location using named cost profiles (for example, Standard versus Premium Location). Each profile supports flat software fees per transaction, percentage software fees, sales tax percentage, and revenue share percentage. HeroVend automatically calculates revenue minus COGS minus all fees to produce net profit and margin percentage per product. New products detected in the API feed are flagged automatically for cost setup.

Inventory Management

Stock levels are tracked per product per device in real time and automatically decremented as sales come in. Operators set customizable low-stock thresholds and par levels per product. Email alerts fire when products hit low or empty status. A full stock activity log captures every sale, restock, and manual adjustment with timestamps. Warehouse inventory is tracked separately from device-level stock and supports multiple warehouse locations.

Report Generator

Six report types are available: Sales Summary, Device Performance, Product Performance, Profitability, Trend Analysis, and Customer Behavior. Reports support daily, weekly, and monthly granularity, all standard date presets plus custom ranges, and multi-device filtering. Favorite report configurations can be saved for one-click re-runs. Reports export as CSV, PDF, or interactive HTML and can be shared by email.

Scheduling

Operators create and manage operational events including restocking runs, deliveries, maintenance visits, meetings, and custom categories. Events support recurrence options of daily, weekly, biweekly, and monthly. Events display in a calendar-style view and can be marked complete with notes attached.

Operator Notes

Free-form notes for operations, supplier contacts, observations, or any business information. Notes use a title and body format, support pinning important entries to the top, and are visible to Hero AI so the assistant can reference them when answering questions.

HeroVend uses a provider adapter architecture that supports connecting to any vending API. Operators running machines on multiple platforms can manage all devices from a single dashboard. Each device automatically maps to its API provider as data flows in.

A fully functional demo is available at https://demo.herovend.ai. It is pre-loaded with three months of realistic vending data across three simulated devices and 32 products. Hero AI is fully functional in the demo including real-time web search. No credit card is required. The demo resets nightly to a fresh state and is clearly labeled as a simulated environment. Two-factor authentication is not required for demo access.

No. HeroVend is a software platform. It does not manufacture or sell vending machines. It connects to existing vending machines through supported APIs and provides analytics, AI insights, and operational tools as a cloud service.

What happens if the internet or vending API goes down?

HeroVend uses an archive-first architecture. All order data is stored locally as it arrives, so the dashboard continues to function from cached data when the API or internet is unavailable. Nightly automated backups and a manual restore capability are also available.

Are there user limits or data retention limits?

No. All plans include unlimited users and unlimited data history at no additional cost.

How long does setup take?

Setup typically takes minutes. The API connection wizard walks operators through selecting their platform, entering credentials, testing the connection, and going live. No technical expertise or IT support is required.
